A guide for admins on setting user roles and creating teams to manage scheduling for groups.

User roles

User roles allow you to assign different levels of permissions to the members of your team, allowing for delegation of some administrative tasks.

You can grant a member of your subscription various admin roles.

  1. Click on 'Active' to see all your active members.

  2. Click on the three vertical dots next to the name of the member.

  3. Select the desired role.

The member will receive an email informing them of their new role.

Member: only has access to the perks of the subscription, but does not have any administrative rights and cannot manage users or create teams.

Admin: can invite and deactivate team members, assign user roles to members, and create/manage teams. Admins cannot delete members accounts or manage any billing details.

Super admin: Has all abilities of admins, but can also delete users' accounts and manage the subscription billing information.

Note: the owner of the subscription will also take up a seat in the subscription.

Creating a team

Teams let you group people together so you can add everyone at once - whether that's assigning a whole team to a Booking Page for round robin scheduling, or inviting an entire team to a meeting in one step.

Teams are available on accounts with a team subscription.

Only users with the Admin or Super Admin role can create and manage teams.

  1. Go to your account settings and select Users & Teams.

  2. Click the Teams tab.

  3. Click Create Team.

  4. Type a name for your team in the Team name field.

  5. Optionally, add a note in the Description field to explain the team's purpose.

  6. Click Create Team to save.

  7. On the team's details page, click Add member.

  8. Select the members you'd like to add from the list, then click Add members.

Managing an existing team

Once a team exists, you can update it at any time from its team details page:

  • Remove a member: Click the trash icon next to their name, then confirm by clicking 'remove'.

  • Add a team member: Click on 'add member'.

  • Rename a team or edit its description: Click 'rename team', update the fields, and click 'save'.

  • Delete a team: Click 'delete team', then confirm.

Frequently asked questions

What happens to a member's account when I remove them from a team? Removing someone from a team doesn't delete their Doodle account - it only removes them from that team.

What happens to team members if I delete a team? Deleting a team permanently removes all of its data and settings. Members who aren't assigned to any other team will show not show a team under status. This action cannot be undone.
