Advanced Host and Teams Booking Page features (book on behalf)

Learn how to add extra hosts to your Booking Page and set up a Team for automatic meeting distribution.

Written by Kimberly Ford

Your Booking Page can do more than share your own availability. With Advanced options, you can add other people as hosts for your meetings, or turn your page into a Team booking page that automatically distributes meetings among your team.

Before you start

  • You'll need a Booking Page open in the editor (new or existing).

  • Anyone you add as a host or teammate needs to be a part of your organization's subscription. If their calendar or video conferencing tool isn't connected, Doodle flags them with a warning and emails them to fix it — they won't be assigned meetings until it's resolved.

Step-by-step guide

Add another host

  1. Open your Booking Page settings and click Advanced options to expand it.

  2. Make sure Host is selected- it's the default tab.

  3. Click add hosts and type the person's name or email.

  4. Select them from the list that appears.

    1. Click the eye icon next to their name to mark them Optional, meaning they're not a required attendee.

    2. Click the people icon to make them the main host instead of you. This also toggles on the 'book on behalf' option.

    3. Click the x to remove a host at any time.

Set up a team booking rotation

Team turns your booking page into a rotation: Doodle automatically assigns each new meeting to the teammate who's waited longest since their last booking, temporarily skips anyone unavailable, and gives a canceled booking back to the original teammate instead of pushing them to the back of the line.

  1. In Advanced options, click Team.

  2. Click Search for teams or members and type a name.

  3. Select the people you want in the rotation.

  4. Optional: under daily meeting capacity per member, choose a number to cap how many meetings each teammate can be assigned per day.

Tips

  • Doodle only assigns a round robin meeting to teammates who have an active account, a connected calendar, video conferencing set up, and a free slot at the requested time.

  • If a teammate's meeting is canceled before it starts, they keep their place in the rotation - they won't lose their turn.

  • New teammates, and anyone returning after being unavailable, move to the front of the queue since they haven't been assigned a meeting recently.

  • If you are the admin of a Team, Enterprise, or Education subscription, and there is a group you use frequently for these meetings, you can create a team in your account settings under the 'users and teams' tab.
