How to create a Booking Page

A Booking Page turns your real-time calendar availability into a clean, shareable link so anyone can book time with you without the back-and-forth. It syncs with your connected calendars to prevent double-bookings, automatically generates video conferencing links, and gives you full control over when and how often people can book.

Before you start

Make sure your calendar (Google, Outlook, or Apple) is connected to Doodle. This lets your Booking Page reflect your real availability and prevents double-bookings automatically.

You can create a new Booking Page in two ways:

  1. Click the create down arrow in your left hand side panel and then select Booking Page

  2. Click on My Doodles in the left hand panel and then click Add New Page

Step-by-step guide to creating your Booking Page

  1. In the booking page details section, type a name for your booking Page in the title field (e.g. "Sync with Team").

  2. Your shareable link is generated automatically based on your name and the title. You can copy it using the copy icon next to the URL field.

  3. Add a description in the add description field to give invitees more context about the type of meeting.

  4. Under booking settings, click the duration field to choose how long each meeting should be. Options include 15 min, 30 min, 45 min, 1 hour, 1.5 hours, 2 hours, or a custom length. You can select multiple durations to offer invitees a choice.

  5. Set your availability schedule. Choose 'repeat weekly' to use the same hours every week, or select 'does not repeat' for a one-time window. Then check the days you're available and set start and end times for each. You can add multiple time windows per day using the + button, and copy a day's schedule to others using the copy icon.

  6. Set your timezone using the dropdown. Doodle will automatically calculate the time zone for your participants.

  7. Choose your video conferencing tool from the dropdown. Optionally, add a physical room or location in the add rooms or location field.

  8. Confirm which calendars Doodle should check for conflicts. Your connected calendar is shown here - any existing events will automatically block those slots on your booking page. All selected calendars will also be invited to booked meetings.

  9. Set a minimum notice period- the minimum amount of advance time required before someone can book. For example, choosing 24 h means no one can book a slot less than 24 hours away.

  10. Set a buffer time to automatically block time on your calendar before and after each booking and your existing calendar events. This prevents back-to-back meetings.

    1. Note: If you have a buffer time set in your global time preferences, this will be the default, but setting a new buffer time here will override it.

  11. Set a date range to control how far into the future people can book. Choose rolling window for a moving window or end date to set a specific cutoff date.

Advanced Settings

Click Advanced options to expand additional settings. These features are only available on accounts that have paid subscriptions.

  • Host / Team: Assign a specific host or add team members. Use the Host tab to designate a single person, or the Team tab to add multiple members — Doodle will distribute bookings across the team using round-robin assignment. For more details see Advanced Host and Team booking page features.

    • Note: A Teams subscription is required for these features.

  • Book on behalf: Toggle this on if you are setting up the booking page for someone else. The organizer will not be visible to invitees.

  • Custom Questions: Your Bookings will always require the participant to share their name and email. Click + add questions to participants to add more questions. You can choose from Text field, Dropdown, or Checkboxes question types. The answers to these questions will be visible in your calendar invites and in the email confirmations you receive.

  • Daily meeting capacity per member: Set a cap on how many bookings can be accepted per day.

  • Reminder: Toggle on to automatically send a reminder to participants before the meeting.

Tips

  • You can offer multiple meeting durations by selecting more than one option in the duration field — invitees will be able to choose which length works for them.

  • Buffer times are a great way to protect focus time between meetings. Even a 10-minute buffer can make a real difference on busy days.

  • If you're on a team, enterprise, or education plan, the round-robin assignment in the team tab means bookings get evenly spread across your team without any manual coordination.

  • If you create multiple booking pages (this is a paid feature) you can share all of your booking pages in one click by selecting the 'Share All Pages' option on the booking page dashboard.
