How to connect and manage your calendar connections

Connecting your existing calendars is the fastest way to make Doodle work for you. Doodle reads your real-time availability across all your calendars, so anyone booking with you only sees slots when you're genuinely free, with no manual upkeep required.

Before you start

  • You'll need at least one calendar account to connect: Google, Outlook (Office 365, Outlook.com, or Hotmail), or Apple iCloud.

  • One connected calendar must always be set as your default. To change the default, connect a new calendar first.

How to connect a calendar

  1. Click My Account at the bottom of the left sidebar.

  2. Select Account settings from the menu.

  3. Click Connected Calendars in the settings navigation.

  4. Scroll down to the Add a calendar account section.

  5. Click Connect under the calendar provider you want to add - Google Calendar, Outlook Calendar, or Apple iCloud.

  6. Follow the prompts to securely authenticate and grant Doodle access to your calendar.

Once connected, your availability updates automatically across all Doodle features. You will also have access to any calendars you've subscribed to within your calendar.

How to manage a connected calendar

Each connected calendar has settings you can adjust:

  • Sync status — The label next to each calendar (e.g., In-sync or Disconnected) shows whether it's actively syncing. If a calendar shows as disconnected, click 'reconnect' to restore the link.

  • Availability blocking — Control whether a calendar's events block your availability, preventing bookings during those times.

  • Hidden availability— Control whether a calendar's event availability will be shown on your Doodle calendar.

  • Disconnect — To remove a calendar, click disconnect next to it. Note that you cannot disconnect your default calendar until you've set another one as the default.

Tips

  • Connect all your calendars. Most people have more than one - a work Outlook, a personal Gmail, a family iCloud. Connecting all of them means Doodle cross-references everything, so a personal appointment will automatically block off time on your professional booking page.

  • Check sync status regularly. Calendar connections can expire if you update your password or revoke app access. A quick check on this page ensures everything stays in-sync.

  • Set your default thoughtfully. Your default calendar is where Doodle writes new events. Choose the one you check most often.

Frequently asked questions

How many calendars can I connect? You can connect up to 10 accounts of each calendar type (Google Calendar, Outlook Calendar, and Apple iCloud), giving you a large number of calendars if you manage multiple accounts.

What does 'in-sync' mean? It means Doodle is actively reading that calendar in real time. Any new event added to that calendar will immediately be reflected in your Doodle availability.

What is the difference between blocking availability and checking off the calendar in my list? When you have the calendar selected in the list, this means the events on that calendar will show up in your Doodle calendar. If you have the calendar checked off to block availability, it means that your booking pages will not offer any times where that calendar is busy, as to not double book.
